Plan and join events

Schedule an event in your hub, and say you are going to one.

Events help your people show up at the same time.

Plan an event

  1. Open the hub's Events and choose Plan an event.
  2. Add an Event name, a description, the Date & time and the Time zone.
  3. Set a Capacity if space is limited, and pick a voice room if it happens in one.
  4. Choose Repeat for a weekly event.
  5. Choose Schedule event.

Planning events is for people the hub lets manage them, usually owners and admins.

Going to an event

Choose Count me in to join the list, or Leave the attendee list if plans change. On an event with role slots, Count me in also takes your spot: the one the host set, or you pick one. Remind me in-app sends you a reminder in Hubs.

Public events show up in Explore, under Posts and people. You can mark Going or Interested, and Add to calendar downloads it to your own calendar. Organizers see totals, not names.

Hosting with another hub

I built co-hosting for hubs that run something together. Open your event, type the other hub's name or paste its link under Invite a hub to co-host, and their admins get Accept or Decline on their Events page.

Once they accept, the event shows in both hubs as Hosted by both names, and everyone's RSVPs count together. The stage stays in your hub. Their members choose Join the stage and come in as audience without joining your hub. They see the stage and its chat, nothing else.

Each hub's moderators look after their own people, and your staff can remove anyone from your stage. A ban in either hub keeps that person out. Either side can stop co-hosting at any time, and both audit logs show what happened.

When an event is full

I didn't want a full event to just say no, so it has a waitlist. Choose Join the waitlist and you'll see your place in line.

When a spot opens, I hold it for the first person in line and send one notification. Open the event and choose Accept before the time runs out (two hours unless the host picks another time, and 30 minutes at most when the event is less than a day away). If you pass or the time runs out, it goes to the next person.

If you host, the event page shows the whole line. You can move someone to the front, choose Offer spot, or turn off Offer open spots automatically and pick people yourself.

Watching the replay

If an event was recorded, Watch replay shows on its page afterward. The host chooses who it's for: everyone in the hub, people who RSVP'd (and the waitlist, if they like), or the people who came. Everyone else sees who it's for. Recording itself still asks everyone in the room first.

Still stuck

A person on the Hubs team can help. Signed in, open Contact Hubs support from Search or jump. Signed out or locked out, write to us and we will get back to you.
